EasyLobby visitor management software provides you with many different options on how to configure and use visitor badges.

badge sampleFirst, consider the physical dimensions and the style of badge.

Styles range from fold & clip, self-adhesive, portrait or landscape format, self-laminating, self-expiring, black & white or color, and badges that can be slipped into plastic badge holders using either a lanyard or a clip. We have a variety of different sizes depending on your needs.

Then there's the information on a badge.

Basically, just about any visitor information that you decide to capture can be put onto the badge. For instance, you can put:  visitor's name, visitor's photo, employee (patient or tenant) being visited, time of check-in, date of check-in, name of your company, category of visitor (day visitor / weekend visitor / contractor / intern / volunteer, etc), purpose of visit, the floor or conference room or facility being visited, whether an escort is required, and a host of other information that may be pertinent to your environment.

There's also the design of the badge to consider.

Placing the photo of the visitor on the badge is a good option when you scan their license (or you can take their photo with a webcam). A barcode placed on each badge let's you quickly scan the badge during check-out. It's also a good option for a long-term badge that can be scanned-in during each visit.

Color coded badges are a good option for different categories of visitors so that you can easily distinguish a contractor from a day visitor, or a parent from a volunteer. Or you can use color coding each day of the week to distinguish badges that have been issued that day.

Using Administrator Software to Manage your SVM Stations

EasyLobby Administrator™ is a central administration software console that provides all the critical functionality for administrators or security directors to help them manage their EasyLobby SVM (Secure Visitor Management) installations.

And a copy of this software is provided free with every SVM license you purchase.

Administrator™ software is typically installed on the security director's computer, which allows this individual to configure, manage and produce reports on SVM without negatively impacting lobby attendants who have SVM installed on their computers.

Administrator™ provides all the features of SVM, with the exception that you cannot create visitor records or print visitor badges.

Ballston Spa Central School District

Ballston Spa MastheadMany K-12 schools are currently EasyLobby customers. One of them is the Ballston Spa Central School District located about 25 miles north of Albany, the state capital of New York. Ballston Spa began their search for a professional visitor registration system to better understand and manage visitors to their schools.

Before making a decision school administrators conducted several demos of visitor software suppliers for schools, and after careful evaluation selected EasyLobby.

"The EasyLobby interface is very self-explanatory, and product features such as the ability to change the layout of visitor ID badges are very helpful," said Edwin Martin, the Coordinator of Facilities and Security for the School District.

Of particular interest to the District was customizing visitor ID badges for different categories of visitors. The District now checks in all visitors by requesting and scanning photo ID's, usually a driver's license.

"From a security perspective, we now can reliably track everyone who visits, from arrival to departure," said Martin. "From a facilities perspective, we're now able to verify the arrival and departure time of all outside contractors to ensure that they are on the job as specified."

Martin continued, "Overall, the implementation of EasyLobby visitor monitoring software has been beneficial to the School District by providing administrators with the information needed to understand and manage visitors to our buildings."

The use of sex offender screening in the visitor registration software has reassured staff and parents that proper controls are in place to monitor all visitors.

Badge printer DymoarticleSave on Badge Stock for your DYMO Thermal Printer


EasyLobby offers very competitive pricing on thermal badge stock for your DYMO thermal badge printer. Options include:

  • 6918:  Plain white adhesive badges (come on a roll of 300). Our most popular badge option for the Dymo printer will work great with your custom badge design.
  • 2991:  Removable white adhesive labels designed for Prox ID cards. Once a visitor is done with their Prox ID card, simply peel off the sticker and reuse the Prox ID card.
  • 30856:  Non-adhesive badges (come with a hole pre-punched, on a roll of 250). A great option for customers who want to create badges that clip easily to clothing or a lanyard. We also sell badge clips designed to be used with this item.
  • 30911:  Self-expiring badges (these bleed through a red stop sign after 12 hours, can be adhesive or non-adhesive, and come on a roll of 250).  Note that this is a two-part system: print the badge, and then apply a white sticker to cover the stop sign and start the bleed through process.

Tech Tip:
How to set your employee (or tenant or patient) list in EasyLobby to automatically update from a master list

It's helpful to keep your employee list in the EasyLobby database up-to-date so that when a visitor checks in you can simply click on a dropdown menu to note the employee being visited. This same premise holds true whether it's an employee, a tenant or a patient, depending on the environment being managed with your EasyLobby station.

You can manually add employees, tenants or patients when they change, but that's an unnecessary nuisance because these changes can be automatically pre-populated from a master database such as a HR system. This automatic update works if your master list is an Active Directory, and ODBC Data Source or an automated filed dump. Here's how to set-up automatic updates to this list.

First, run the EmployeeImport Utility once manually. This will save the settings such as the source of the employee data, and which columns of the source to import. At this point, you might be done already -- you have just imported your list of employees into EasyLobby.

But how can you be sure this employee list stays updated, inside EasyLobby, with minimal work?  The answer is: create a Windows scheduled task that runs the EmployeeImport utility silently at a scheduled time (for example nightly or weekly). The run command within Windows scheduled tasks to schedule the EmployeeImport utility is:

"C:\Program Files\EasyLobby\EasyLobby SVM 9.0\Utilities\EmployeeImport.exe" /S

( the '/S' at the end makes it run silently).

The end result will be that any time the Employee (or Tenant or Patient) records get updated in your master list (AD, ODBC or file dump), the files will be automatically updated in the EasyLobby database.  When any employee (or tenant or patient) joins or leaves the organization, it will be reflected in EasyLobby without any actions required by the EasyLobby operator.
